Privacy

What we collect and why

Swingcircle collects your name, email address, username, user ID and date of birth for account setup, sign-in and the 13+ age rule. We store the information you provide or create while using the service: profile photos, golf-bag selections, practice results, coach relationships, coaching messages and their delivery/read status, drill assignments, swing and comparison videos, voice feedback, annotations, swing-position markers, lesson bookings, coaching-plan and purchase history, notification preferences, safety reports and security audit events. We use these records to provide training, private coaching, scheduling, payments, support and account security.

Service providers and sharing

Supabase provides account authentication and database storage; Cloudflare provides website/API hosting and private media storage. Zoho Mail processes account authentication emails and support correspondence. Brevo processes coaching notifications and invoice or lesson emails, including email addresses and notification or lesson details. Stripe processes website payments and coach payouts; full payment-card details are entered directly with Stripe, not stored by Swingcircle. Google processes Calendar data when a coach chooses to connect their account. These providers process data to deliver their respective services. Your coaching data is shared with your connected coach as described below; it is not published to other users. We do not sell your personal data or use it for cross-app advertising tracking.

Phone verification and session text reminders

Phone verification and text reminders are currently unavailable. When enabled, linking a phone number requires confirmation using a text-message code. Twilio processes phone numbers and verification or reminder messages to provide these services. Phone numbers stay private and are not included in coach rosters or player searches. Session reminders are optional: if enabled, we send a text about one hour before a booked session. Message and data rates may apply. Reply STOP to stop texts, or turn reminders off in your account profile. Changing a number requires verification again. Your verified number and reminder preference are removed when your account is deleted.

Device permissions and local processing

Camera, microphone and photo access support the recordings you choose to make or import. Automatic swing-position estimation uses Apple Vision on your device; frames are not sent to an external AI service for this processing. App progress caches are separated by account and the active progress cache is cleared at logout. Access to file timestamps and available disk space is used for local draft cleanup and recording capacity checks, not device fingerprinting.

Optional Google Calendar connection

Coaches can connect Google Calendar to show available lesson times. Swingcircle reads the selected calendar list, busy periods, and event timing/identifiers needed to avoid counting its own lessons twice, stores the coach’s availability rules, lesson locations and travel estimates and encrypted connection credentials, and creates, updates or removes Swingcircle lesson events. Students receive available times and the public lesson location, never the coach’s other event details. In-person lesson addresses also appear on the coach’s lesson event; virtual sessions do not store a private home address. Travel estimates are entered by the coach; we do not track location or use live traffic data. Calendar information is used to provide scheduling and is not used for advertising. Coaches can disconnect in Calendar & availability or revoke access in their Google Account. Disconnecting pauses automatic availability; existing Google events remain. Account deletion removes Swingcircle lesson events before revoking the connected calendar authorization and removing stored connection credentials and scheduling settings. If synchronization or revocation fails, deletion is delayed and retried.

Processing locations and security

Our service providers may process personal information outside your province or Canada, where it may be subject to local laws. Access to private coaching content is restricted to authorized accounts and service providers supporting the service. No internet service can guarantee absolute security. Contact support if you suspect unauthorized access.

Coach access

An accepted coach can view the connected student's progress, assignment results, messages, training-aid bag, and private swing videos. A coach cannot change student billing or account identity. Access is denied before acceptance and revoked immediately when the relationship ends or either participant blocks the other.

Retention

Incomplete uploads and unsent feedback drafts expire after seven days. A reviewed raw submission video expires after 90 days unless the student saves it to their library. Sent feedback remains in the student's history after a coaching relationship ends. Account deletion removes the deleting user's shared reviews and associated media as well. An account deletion request ends coaching access immediately and is normally processed after a 15-day cancellation window. Unresolved payments, refunds, subscription cancellations or provider/storage cleanup failures can delay completion. Privacy controls show the current status. We send a completion confirmation after deletion; a scheduled date alone is not confirmation of deletion. Contact support if a request remains delayed. Information that must be retained to meet applicable legal obligations or resolve payment disputes may be retained for that purpose. Temporary recordings and drafts can remain on your device until their cleanup runs or the app is removed.

Your controls

Profile photos are available to you, your active coaching connection, and authorized administrators. Profile controls let you change notification preferences, disconnect, report or block a user, and request or cancel account deletion. Contact support@swingcircle.app for questions about your data, access, correction or deletion. You can withdraw optional camera/microphone/photo permissions in iOS Settings and disconnect Google Calendar in the app or your Google Account. You may also ask about our privacy practices, request a correction, or raise a privacy complaint through this address. We may need to verify your identity before acting on a request. Withdrawing consent for information needed to provide a feature may prevent us from providing that feature. We will post policy updates here with an updated date.

Terms of use

Swingcircle is currently offered in Canada. Swing analysis and one-to-one lessons are coaching services provided by your selected coach through Swingcircle. The coach, offer, currency, price, applicable tax and any recurring billing interval must be shown before you pay. Website purchases are processed by Stripe for the coach; Swingcircle provides the app and payment-management tools.

These terms govern use of Swingcircle. Accounts must use accurate information and belong to users age 13 or older. Keep sign-in links and account access private. Free training tools remain free; paid coaching services, when available, show their price and allowances before purchase. Recurring plans renew until canceled and included allowances do not roll over. Individual analysis credits do not expire. You can cancel renewal from your coaching plan. Coaches handle paid-lesson refunds through Stripe; cancellation does not itself guarantee a refund. Contact your coach about their service or refund terms, or Swingcircle support for app and payment-status issues.

These terms do not exclude rights or remedies that cannot be waived under applicable consumer or privacy law. If a coach policy conflicts with those rights, those rights continue to apply.

Swingcircle provides practice organization and remote coaching tools, not medical advice or a guarantee of performance. Users are responsible for choosing a safe practice area, stopping when pain occurs, and following facility rules. Do not upload media you lack permission to share, impersonate another person, probe other accounts, or use the service for harassment, discrimination, fraud, or unlawful activity.

Coaching purchases

Payments and service delivery

Paid coaching is not yet available for general release. Any checkout marked Sandbox is a test and does not move real money. Free training tools remain available without a paid coaching plan.

When payments are available, prices are in Canadian dollars (CAD). Review the final total and applicable taxes in Checkout. Only use a payment method you are authorized to use. If you are not legally able to enter a purchase agreement yourself, a parent or guardian must authorize the purchase.

• Individual swing analysis: a successful payment adds the purchased analysis credit to your coaching account. Submit your swing through the app for your coach to review. The credit does not expire; purchasing a credit does not mean feedback has already been delivered. Confirm response-time expectations with your coach before buying.
• Recurring coaching plans: the offer states the analyses, coaching minutes and billing interval. Plans renew automatically until renewal is canceled. Allowances are granted after payment confirmation for each billing period, expire at the end of that period and do not roll over. Booking is subject to the coach’s available times.
• Individual lessons: the booking identifies the coach, date, time, duration, location or virtual format, and price. Check the confirmed booking in the app after payment; an incomplete or failed checkout is not a confirmed paid booking.

There is no physical shipping for coaching purchases. Payment history and available receipts can be accessed from your coaching payment account. If a successful payment does not appear, contact support with the purchase date, coach and receipt reference. Do not send full card details.

Refunds and cancellation

Canceling a recurring plan

Use the plan’s cancellation or payment-management controls before the next renewal. Canceling renewal stops future scheduled charges; it does not automatically refund earlier payments. Previously paid allowances retain their original expiry. Uninstalling the app does not cancel a subscription. If the controls are unavailable, contact support promptly with the plan and coach name.

Canceling a lesson or requesting a refund

Contact your coach through Messages to cancel or reschedule and to request a refund. Review the coach’s cancellation and no-show policy before booking. Canceling a time slot alone does not guarantee a card refund. For a duplicate charge, an undelivered service, or an incorrect amount, contact your coach and Swingcircle support with the receipt reference so the payment and service record can be reviewed. Any applicable statutory cancellation or refund right remains available regardless of a coach’s policy.

Approved card refunds are processed through Stripe to the original payment method; your financial institution determines when they appear. A refund of a purchase paid using coaching-plan minutes returns eligible minutes rather than card funds, subject to the original allowance expiry. Refunded or disputed purchases may have unused allowances suspended while the purchase is reconciled.

Deleted plans and closed relationships

Deleting a coach’s plan stops new purchases and queues cancellation of renewals while preserving the billing history and already-paid allowance records. Ending a coaching relationship removes coaching access; it does not itself confirm that a refund has been issued. Contact support if a cancellation, refund or account-deletion request is still pending.

Community and coaching rules

Professional, bounded coaching

Coaching content is shared privately with your connected student or approved coach. A limited text filter rejects certain abusive phrases before sharing; it does not automatically inspect video or audio. Use the in-app report control or support address for concerns so the administrator can investigate. Blocking ends the coaching connection and future access to private student content; sent feedback remains in the student's history.

• Keep feedback golf-related, respectful, and age-appropriate.
• Do not request unnecessary personal information or move a minor into unapproved private contact.
• Do not diagnose injuries; advise a student to stop and seek qualified care when appropriate.
• Never download, redistribute, or retain student media outside the student's permission.
• Honor blocks, disconnects, and response-time expectations.
• Report safety or privacy concerns through the in-app reporting control or support@swingcircle.app.

Affiliate disclosure

Shopping is optional

Training-aid offers are separated from coaching instructions and labeled when an affiliate relationship applies. Swingcircle may earn a commission from a labeled affiliate purchase at no additional cost to the buyer. Coaches should recommend aids for a genuine practice need, show free or household alternatives when reasonable, and disclose any separate financial interest.

Age policy

Accounts are for golfers age 13 and older

You must be at least 13 years old to create or use a Swingcircle account. Date of birth is collected privately to enforce this rule and is not shown to coaches. Swingcircle does not offer a guardian-consent path for children under 13.
